  • Communication Data: SMS messages, call recordings, email correspondence, support tickets
  • Payment Information: Credit card details (processed securely through Stripe; we do not store full card numbers)
  • Profile Information: User preferences, settings, certifications, training records

2.2 Information We Collect Automatically

When you use the Service, we automatically collect:

  • Usage Data: Pages viewed, features used, time spent, clicks, search queries
  • Device Information: IP address, browser type, operating system, device identifiers, mobile network information
  • Location Data: GPS coordinates when using mobile features (with your permission), IP-based location
  • Log Data: Access times, error logs, performance data
  • Cookies: Session cookies, preference cookies, analytics cookies (see Section 8)

2.3 Information from Third Parties

We may receive information from third-party services you connect to BetterRoofingPro:

  • QuickBooks Online: Customer data, invoice data, item lists, payment information
  • Microsoft 365: Email, calendar events, files from SharePoint/OneDrive
  • Azure AD B2C: Authentication and identity information
  • Weather Services: Storm and hail data for prospecting features
  • Property Data Providers: Property ownership records, tax assessor data

3. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and maintain the Service
  • Process your transactions and manage your subscription
  • Send you estimates, invoices, and business communications
  • Facilitate AI-powered calling and SMS features
  • Provide customer support and respond to your requests
  • Send administrative notifications, updates, and security alerts
  • Improve and optimize the Service through analytics and research
  • Detect, prevent, and address fraud, security issues, and technical problems
  • Comply with legal obligations and enforce our Terms of Use
  • Send marketing communications (with your consent; you can opt out anytime)
AI Calling and Speech Processing

When you use our AI calling features, we process call audio using Azure AI Speech services. Call recordings are stored for quality assurance and compliance purposes. You can disable call recording in your account settings.

4. How We Share Your Information

We do not sell or rent your personal information. We may share your information in the following circumstances:

4.1 With Your Consent

We share information when you explicitly authorize us to do so, such as when connecting third-party integrations.

4.2 Service Providers

We share information with trusted service providers who perform services on our behalf:

  • Microsoft Azure: Cloud hosting and infrastructure
  • Azure Communication Services: SMS and calling functionality
  • Azure AI Speech: Voice transcription and text-to-speech
  • OpenAI: AI-powered features and call orchestration
  • Stripe: Payment processing
  • SendGrid/Azure Communication Services: Email delivery
  • Application Insights: Performance monitoring and analytics

These service providers are contractually obligated to protect your information and only use it for the purposes we specify.

4.3 Business Transfers

If we are involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you before your information is transferred and becomes subject to a different privacy policy.

4.4 Legal Requirements

We may disclose your information if required to do so by law or in response to valid requests by public authorities (e.g., court orders, subpoenas, government agencies).

4.5 Protection of Rights

We may disclose information to protect our rights, property, or safety, or that of our users or the public, including fraud prevention and security investigations.

We implement industry-standard security measures to protect your information:

  • Authentication: Azure AD B2C with multi-factor authentication support
  • Access Controls: Role-based access controls and least-privilege principles
  • Multi-Tenancy: Logical data isolation ensures your data is only accessible to authorized users in your organization
  • Network Security: Azure Front Door with DDoS protection and WAF
  • Monitoring: 24/7 security monitoring and incident response
  • Regular Audits: Periodic security assessments and penetration testing
  • Employee Training: All employees undergo security and privacy training

While we implement strong security measures, no method of transmission over the Internet or electronic storage is 100% secure. We cannot guarantee absolute security but strive to use commercially acceptable means to protect your information.

6. Data Retention

We retain your information for as long as necessary to provide the Service and fulfill the purposes outlined in this Privacy Policy:

  • Active Accounts: Data is retained for the duration of your subscription
  • Canceled Accounts: Data is retained for 30 days after cancellation to allow for reactivation, then deleted
  • Backup Data: Backups are retained for 90 days then permanently deleted
  • Legal Requirements: Some data may be retained longer to comply with legal obligations (e.g., tax records, call recordings for compliance)
  • Anonymized Data: We may retain anonymized analytics data indefinitely

You can request deletion of your data at any time by contacting us (see Section 7).

7. Your Privacy Rights

Depending on your location, you may have the following rights regarding your personal information:

7.1 Access and Portability

You have the right to access your personal information and request a copy in a portable format. You can export most data directly from the Service in CSV or JSON format.

7.2 Correction

You have the right to correct inaccurate or incomplete personal information. You can update most information directly in your account settings.

7.3 Deletion

You have the right to request deletion of your personal information, subject to certain legal exceptions. Contact us to request account deletion.

7.4 Opt-Out

You can opt out of marketing emails by clicking "unsubscribe" in any marketing email or updating your communication preferences in account settings. You cannot opt out of transactional emails (e.g., invoices, security alerts).

7.5 Do Not Sell (California Residents)

We do not sell personal information. California residents have the right to request information about data sharing practices under CCPA.

7.6 Additional U.S. State Privacy Rights

Residents of certain U.S. states may have additional rights, including rights to know, delete, correct, and appeal decisions about personal information processing, as applicable under state law.

BetterRoofingPro integrates with third-party services. Your use of these services is subject to their respective privacy policies:

10. Children's Privacy

BetterRoofingPro is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children under 18. If we become aware that we have collected information from a child under 18, we will take steps to delete it promptly.

11. Data Location

BetterRoofingPro is hosted on Microsoft Azure with data centers primarily in the United States. Customer data is processed in support of U.S. business operations.

If data is processed by a service provider outside your local jurisdiction, we require contractual protections and security controls appropriate to the data involved.

12. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. When we make material changes, we will:

  • Update the "Last Updated" date at the top of this page
  • Notify you via email (if you have provided an email address)
  • Display a prominent notice on the Service

Your continued use of the Service after notice of changes constitutes acceptance of the updated Privacy Policy. We encourage you to review this Privacy Policy periodically.
